8 min read

Planning a sleepover party sounds simple—invite a few friends, set up some sleeping spaces, order pizza, and let the kids have fun.

But if you’re the parent responsible for making it all happen, you know there’s a little more to it.

From choosing the guest list and planning activities to remembering food allergies, setting up sleeping spaces, and making sure everyone knows when pickup is, there are plenty of details to think about. The good news? A little planning ahead can make the entire experience much easier.

Whether you’re hosting your child’s first sleepover or you’ve become a seasoned sleepover parent, this complete sleepover party checklist will help you stay organized from the first invitation to the morning-after cleanup.

And if you're planning a sleepover in Austin, we've included a few tips specifically for local families, too!

2–4 Weeks Before the Sleepover

☐ Choose the date

Start by checking your family calendar, school schedule, sports, activities, and other commitments.

For larger sleepovers or parties involving several families, giving parents plenty of notice makes coordinating schedules much easier.

If you're renting sleepover tents, it's also a good idea to reserve your date early. Popular weekends and themes can book several weeks in advance.

☐ Decide how many kids to invite

There isn't one perfect number for every sleepover.

Consider your child's age, the size of your home, how many sleeping spaces you have, and how comfortable you are supervising a group of kids overnight.

For kids ages 7–13, a smaller group often makes the evening easier to manage while still feeling special.

Not sure how many guests is right for your child? Read our guide:

☐ Choose a theme

A theme isn't required, but it can make planning the rest of the party much easier.

Once you've chosen a theme, you can coordinate the decorations, activities, food, invitations, and sleeping area around it.

Some popular sleepover themes for kids ages 7–13 include:

At South Austin Sleepover Tents, our themed setups are designed to take much of the decorating work off your plate.

☐ Set your budget

Think about the major expenses before you start purchasing things.

Your budget may include:

  • Sleepover tents or sleeping arrangements

  • Decorations

  • Food and drinks

  • Cake or dessert

  • Activities and crafts

  • Party favors

  • Invitations

  • Additional entertainment

☐ Decide whether you'll DIY or rent

You can absolutely create a memorable sleepover yourself.

However, DIY sleepovers can require quite a bit of preparation—and even more storage space if you're purchasing tents, mattresses, bedding, pillows, tables, lighting, and decorations.

A sleepover rental company can handle much of the setup and cleanup so you can focus on your child and their guests.

☐ Book your sleepover rental

If you're using a sleepover rental company, now is the time to reserve your date.

Ask what is included in the package and whether the company handles:

  • Delivery

  • Setup

  • Styling

  • Mattresses

  • Bedding

  • Blankets

  • Decorations

  • Tables

  • Lighting

  • Party accessories

  • Pickup

The more that's included, the less you have to coordinate yourself.

1–2 Weeks Before the Sleepover

☐ Send invitations

Make sure your invitations include all the important details.

Include:

  • Date

  • Drop-off time

  • Pickup time

  • Location

  • RSVP deadline

  • What guests should bring

  • Theme, if applicable

  • Contact information for the host parent

For younger children, it's especially helpful to clearly communicate whether parents are expected to stay or whether this is a drop-off sleepover.

☐ Collect RSVPs

Don't wait until the last minute to figure out who's coming.

Keep track of:

  • Guest name

  • Parent/guardian name

  • Phone number

  • RSVP

  • Food allergies

  • Dietary restrictions

  • Emergency contact information

  • Any relevant medical or comfort information the parent wants you to know

Having this information in one place will make the evening much easier.

☐ Ask about allergies and food restrictions

This is one of the most important steps on your checklist.

Ask parents about:

  • Food allergies

  • Dietary restrictions

  • Medication

  • Food preferences

  • Other important concerns

Don't assume you'll remember everything. Write it down and keep it somewhere accessible.

☐ Plan the menu

Keep the food simple.

Sleepover parties don't need a complicated menu. In fact, kids are usually perfectly happy with familiar favorites.

Consider:

Dinner

  • Pizza

  • Chicken tenders

  • Sliders

  • Tacos

  • Pasta

Snacks

  • Popcorn

  • Pretzels

  • Fruit

  • Chips

  • Veggies and dip

Breakfast

  • Pancakes

  • Waffles

  • Muffins

  • Bagels

  • Fruit

  • Yogurt

Drinks

  • Water

  • Juice

  • Lemonade

  • Hot chocolate for winter parties

And don't forget dessert!

Cake, cupcakes, cookies, ice cream, or a simple themed treat can all work.

☐ Plan a few activities

You don't need to schedule every minute of the evening.

In fact, kids often have more fun when they have some downtime to talk and play.

Still, having a few activities ready can be a lifesaver if the group starts getting restless.

Ideas include:

  • Movie night

  • Make-your-own friendship bracelets

  • Nail or spa night

  • Board games

  • Card games

  • DIY crafts

  • Karaoke

  • Photo booth

  • Scavenger hunt

  • Themed games

  • "Would You Rather?"

  • Glow-in-the-dark games

  • Outdoor games before bedtime

☐ Choose the movie

If you're planning a movie night, choose the movie ahead of time.

This may sound like a small detail, but trying to get a group of excited kids to agree on a movie at 10 p.m. can turn into quite the debate!

Consider having two or three parent-approved options ready.

A Few Days Before the Sleepover

☐ Confirm your guest list

Make sure you know exactly how many children are attending.

This is especially important if you're ordering food, preparing party favors, or renting tents.

If you're using a rental company, provide the final guest count as requested so the setup can be prepared correctly.

☐ Confirm the rental

Double-check:

  • Delivery time

  • Setup details

  • Number of tents

  • Theme

  • Pickup time

  • Any special requests

If your rental company needs a final guest count or personalization information, get those details submitted.

☐ Purchase food and drinks

Make your grocery trip now rather than trying to do everything on party day.

Don't forget:

  • Dinner

  • Snacks

  • Breakfast

  • Drinks

  • Dessert

  • Ice

  • Paper goods

  • Serving utensils

☐ Prepare party favors

If you're sending guests home with a favor, assemble everything ahead of time.

A small themed item, personalized cup, bracelet, candy treat, or activity can make a fun takeaway.

☐ Clean and declutter the party area

You don't need to deep-clean your entire house.

Focus on the spaces the kids will actually use:

  • Party area

  • Sleeping area

  • Bathroom

  • Kitchen

  • Entryway

Move fragile or valuable items somewhere safe before the party.

The Day Before

☐ Charge electronics

If kids will be taking photos, watching movies, or using devices, make sure everything is charged.

You may also want to establish expectations around phones and electronics before the party begins.

☐ Prepare the bathroom

Stock up on:

  • Toilet paper

  • Hand soap

  • Hand towels

  • Tissues

  • Extra toiletries

For younger guests, make sure they know where the bathroom is when they arrive.

☐ Prepare a place for shoes and bags

Designate one location where kids can put their belongings when they arrive.

This will help keep shoes, backpacks, overnight bags, and jackets from taking over the house.

☐ Set aside extra blankets and essentials

Even with a beautifully planned sleepover, someone will probably get cold.

Keep a few extra blankets nearby.

You may also want to have:

  • Extra pajamas

  • Extra toothbrushes

  • Hair ties

  • Tissues

  • Water bottles

  • Night lights

☐ Have a backup plan

Kids are unpredictable.

A craft may not be as exciting as you thought. The weather may change. The movie may be a flop.

Have one or two backup activities ready so you don't have to come up with something at 9 p.m.

The Day of the Sleepover

☐ Finish food preparation

Do as much food prep as possible before guests arrive.

Cut fruit, portion snacks, refrigerate drinks, and organize anything you'll need later.

☐ Set up the party space

If you're using a sleepover rental company, this is where professional setup can make a huge difference.

At South Austin Sleepover Tents, our standard setup includes:

  • Themed sleepover tents

  • Comfortable memory foam mattresses

  • Laundered fitted sheets

  • Warm, extra-soft throw blankets

  • Themed accent cushions

  • Tray tables

  • Themed banner or garland

  • Night lights or lanterns

  • Personalized cups/party favors

  • Twinkle lights

  • Delivery

  • Setup and styling

  • Pickup

That means you can focus on getting your house ready for the kids instead of spending hours assembling and styling each sleeping space.

☐ Put out food and drinks

Have an easy snack or drink available when guests arrive.

Kids are often hungry immediately after school or activities, so having something ready can help everyone settle in.

☐ Keep important information handy

Keep your guest list and parent contact information somewhere accessible.

You don't need to hover over the kids, but you should know where to find the information quickly if needed.

During the Sleepover

☐ Review basic house rules

Keep the rules simple.

For example:

  • Stay inside the designated areas.

  • Ask before going outside.

  • No entering off-limit rooms.

  • Keep food and drinks in designated areas.

  • Treat everyone respectfully.

  • Tell an adult if you need anything.

Kids don't need a long list of rules—they just need to know the expectations.

☐ Let the kids have fun

This is important.

You don't have to orchestrate every moment.

Once the food, activities, and sleeping arrangements are handled, let the kids enjoy their time together.

They may spend an hour on the activity you planned—or abandon it after ten minutes because they'd rather talk.

That's okay.

☐ Have a bedtime plan

You don't necessarily need a strict bedtime, but it's helpful to establish a general timeline.

For example:

6:00 p.m. – Guests arrive

6:30 p.m. – Dinner

7:15 p.m. – Activity or games

8:30 p.m. – Movie/snacks

10:00 p.m. – Pajamas and bedtime routine

10:30 p.m. – Lights out

Of course, the actual schedule will depend on the age and energy level of the group.

And let's be honest—"lights out" doesn't always mean "everyone immediately falls asleep."

☐ Keep water nearby

Kids can get busy playing and forget to drink.

Make sure water is easily accessible throughout the evening.

The Morning After

☐ Give the kids time to wake up

Sleepovers rarely follow a normal sleep schedule.

Don't expect everyone to wake up at exactly the same time.

☐ Serve an easy breakfast

Keep breakfast simple and familiar.

There's no need to prepare a restaurant-style breakfast after a night of limited sleep.

☐ Pack belongings

Before parents arrive, do a quick check for:

  • Shoes

  • Jackets

  • Phones

  • Chargers

  • Water bottles

  • Hair accessories

  • Stuffed animals

  • Overnight bags

  • Personal items

It's surprisingly easy for something to get left behind.

☐ Check the sleeping area

Before returning everything to normal, check under and around the tents, mattresses, furniture, and tables for forgotten items.

If you're using a rental company, leave the setup intact if they've arranged a scheduled pickup.

After the Party

☐ Thank the parents

A quick text thanking parents for trusting you with their child is always a nice touch.

☐ Take a moment to enjoy the memories

Yes, you'll probably be tired.

Yes, your house may need some attention.

But your child just made memories with their friends that they'll likely remember for years.

Take a few minutes to look through the photos and enjoy them before immediately moving on to the next thing.
